how to buy from China without surprises
Office chairs are the most commonly mishandled category in furniture import. The models look alike in photos, the price gaps look random, and the first container decides whether your seating program survives. This guide covers how wholesale chair sourcing actually works from the Foshan manufacturing belt.
Start with the range, not the single hero chair
Wholesale buyers rarely win with one chair. A seating program needs task models, a mid-back executive option, a visitor chair and at least one power-ergonomic flagship. When you source office chairs wholesale, ask the supplier up front: can models be mixed inside one container? If the answer is a rigid per-model MOQ with no mix, your shelf plan dies before it starts. The spec sheet matters more than the photo
Chair photos hide the three things that generate returns and warranty claims:
- Gas lift class and base material. A class-3 lift on a nylon base behaves differently from a class-4 lift on a reinforced aluminum base — same silhouette, different product.
- Mesh and foam density. "Breathable mesh" covers everything from furniture-grade mesh to curtain material. Ask for grammage (g/m²) and foam density (D).
- Mechanism type. Knee-tilt, synchro-tilt and weight-sensitive mechanisms serve completely different buyers. Lock this before sampling, not after.
Samples: pay for two, not one
Order two samples of the same model from two factories, not two models from one factory. You are testing the factory's consistency, not just the chair. When the samples arrive, check stitching alignment, arm wobble, tilt smoothness and how the mesh tensions over the frame. A 5-piece sample run also tells you how the factory handles small-quantity finishing.
Inspection and loading: the part buyers never see
Chairs ship knock-down, which means carton integrity, foam wrapping and hardware bags decide whether your container arrives as products or parts. Pre-shipment inspection against the approved sample — plus photos before loading — is the cheapest insurance in this trade. This is what a sourcing office does on the ground that a remote supplier will not.
Red flags that should end the conversation
- Photos with factory watermarks and no willingness to video-call the workshop.
- A "same quality, 30% cheaper" quote with no explanation of which component was downgraded.
- No mixed-container option and no sample policy in writing.
